Overseeing all studio operations, the Office Manager is the strategic go-getter who keeps the day-to-day activities of the business running efficiently, smoothly, and professionally — an expert administrative manager, organizer, communicator, and behind-the-scenes systems thinker.

Studio BBA is looking for an individual who will help represent the studio as a positive force in the design and architecture communities; create, improve, and standardize business and communications systems; and optimize the daily/weekly/quarterly schedule to support the studio’s continuing innovation and evolution. This person is confident, warm, and enjoys working with others.

Manage all administrative aspects of the studio
Manage studio calendar
Create proposals and estimates, responds to RFPs/RFQs, and manages project negotiations
Represent the studio in person, and in outgoing communications via email, online, phone, etc. so that clients feel connected to our work and the studio staff
Assist with vetting new projects and clients
Assist with project management
Plan travel
Communicate with off-site studio team (e.g. PR consultant, press, bookkeeper, accountants, other collaborators)
Establish, improve, and maintain internal systems
Support the bookkeeper on invoicing
Maintain website
Organize digital images
Order supplies
Handle facilities: kitchen, rubbish, recycling, and keep studio tidy
Run local errands for the studio

Qualifications Required
Microsoft Suite proficient (word, excel, outlook)
Quickbooks fluency is a plus
Excellent written and verbal skills
Organized systems thinker
Excellent communicator: warm, professional
Attentive to detail
Flexible, ready for change
Takes initiative
Natural relationship builder
Office management or similar experience

Qualifications Desired
Experience in architecture, or interior design worlds
Adobe Suite knowledge (InDesign a must, others a plus)
Wordpress experience

Classification & Compensation
This is a part-time hourly role expected to evolve as quickly as needed to salaried and full time with benefits, likely within one year.

This position is supervised by the Design Director.
