Superstar Health Education is a health education business based in San Francisco with a small team that provides gender/sexuality inclusive health education to youth and adults at over 100 schools in the Bay Area!

We're committed to medically accurate, age-appropriate, shame-free, comprehensive sexuality education. Grounded in our anti-oppression philosophy, our work encourages people to make informed decisions about caring for their bodies and being sexually healthy.

Most of our work is puberty education for elementary age students and inclusive sexual health programs for middle schoolers. We serve public schools, including many in high needs demographics, as well as charter and independent schools.

About the Role

Please note: this is a very part-time position! 10 hours per week, divided into five two-hour shifts, with some flexibility. It is intended to serve as a supplementary position for a full time student or an applicant with other employment.

The Marketing and Administrative Assistant will assist Superstar’s Program Manager. Their duties include but are not limited to:

- Marketing to New Clients
- Maintaining database of potential new clients
- Daily cold calls to establish contact with potential clients
- Providing initial information to potential clients
- Depending on experience, making sales pitches to potential clients

Communicating and Scheduling with Existing Clients
- Maintain communication with dozens of clients at a time, by phone and email
- Track clients information through our booking processes using a CRM (Streak)
- Creating and Sending Invoices (Quickbooks)
- Ensure data accuracy across all systems when client booking details change
- Maintain polite and efficient tone with clients who present challenges
- Check in with supervisor about unique client requests or situations

Coordinating with Community Educators
- Keeping data accurate in Google Calendar and Streak
- Under direction of supervisor, ensure teaching materials get to school sites
- Under direction of supervisor, remind educators of meetings and deadlines (text and email)

Office Administration
- Weekly meetings with Program Manager
- Answering emails
- Maintain online files (Google Workspace)
- Maintaining SHE Calendars

Materials Inventory and Printing
- Maintaining inventory of office supplies and teaching materials
- Coordinate printing of handouts and materials
- Ensure the teaching/ print material get to each school sites

Basic Financial Responsibilities
- Ensure Contracts and Invoices are sent to clients
- Following up on unpaid invoices
- Data Entry (Quickbooks)
- Remind team about expense due and timesheets deadlines

Additional possible responsibilities could include
- Creation of classroom teaching tools: laminating classroom supplies, creating PowerPoint presentations, Prezis or Kahoots
- Full Bookkeeping, with possible raise and more hours
- Social Media content creation
- Grant writing

Required Skills
- High morale/resilience/determination when dealing with low-return tasks (daily cold calling)
- High level of general competence with software/online platforms (problem solving, discovering and using new functions, speed and comfort with all computerized tasks and systems)
- Attention to detail; willingness to double-check for errors as a step in every process
- Flexibility and patience
- Excellent verbal and written comprehension/communication skills and comfort with topics of human sexuality

Desired Skills
- Experience in cold calling
- Familiarity with any of our core tools: Google Workspace, Streak, AppSheet, Quickbooks Online, Google Calendars, Canva
- Experience managing books or finances, writing invoices
- Language fluency besides English, Bilingual Spanish preferred
- Advanced problem-solving skills when confronted with unexpected hurdles

Compensation, Bonuses and Hours
Paid hourly as a regular W-2 employee, at a rate ranging from $25 to $35 per hour depending on experience. 10 hours a week (average) during the school year (Approx 40 weeks), organized roughly into two hour shifts each day. June, July, and August are off.

Potential Advancement
There are two areas into which an applicant may be able to advance: as a bookkeeper for the organization, or in marketing and sales; this includes the opportunity to earn commission in addition to hourly wages.

Benefits:
40 sick hours per year. Emergency fund offered annually to all employees. Superstar does not offer health benefits at this time, but can recommend a free health care broker service to ensure all employees can find affordable health care.
