A small, but growing design studio is looking for an Office Manager / Executive Assistant to help run it's San Francisco office and support it's Chief Creative Officer. This position is a hybrid role between maintaining an efficient and organized office and supporting a fast moving, demanding CCO with a very busy schedule.

You are a detail-oriented self-starter with strong interpersonal skills. You are super motivated and anticipate the needs of others before they even do. You can work independently and as part of a team and are always willing to roll up your sleeves and help out no matter how big or small the task. This is a fast-paced company and requires someone who is pro-active, nimble, efficient, and has forethought.


RESPONSIBILITIES

Executive Assistant
Day-to-day responsibilities will include:
-Managing a very busy, ever-changing calendar
-Prioritizing day-to-day tasks
-Close coordination with NY office
-Itemizing expense reports
-Inputting project time-tracking
-Booking travel arrangements and accommodating adjustments and last minute changes
-Prepare travel itineraries

Office Manager
Day-to-day responsibilities will include:
-Maintaining office efficiency and organization by implementing office systems and keeping technology up to date
-Managing office supplies and equipment procurement
-Managing all vendors and services needs
-Setting up new employees
-Maintaining a clean and tidy office environment
-Assist leadership with orchestration of client events and special projects as needed
-Managing guests/clients that come to the office
-Setting up for client meetings. This could include:
--Setting up and preparation of conference rooms
--Ordering and setup of catering
--Anticipating meeting needs
--Participating in meeting cleanup and take down
