Key Responsibilities:
Patient Experience & Communication
Welcome patients in a warm, professional, and compassionate manner, ensuring every interaction reflects SFPMG’s values of care and excellence.
Serve as the main point of contact and trusted “patient ambassador” for the IV Ketamine program, guiding patients from inquiry through enrollment, intake, treatment, and follow-up.
Review and coordinate patient treatment plans, ensuring accuracy and alignment across providers.
Maintain timely, clear, and empathetic communication with patients via multiple channels (in-person, phone, email, and EMR).
Support patients throughout their journey, fostering a safe, supportive, and empowering experience.
Administrative Operations:
Support day-to-day front office operations with a positive attitude, including check-in/check-out procedures, collecting payments, and managing general inquiries.
Efficiently schedule and manage patient appointments to optimize clinic flow and minimize wait times.
Assist with billing, payment collection, and insurance documentation.
Maintain accurate, up-to-date patient information and medical records within the EMR system (Elation Health preferred).
Ensure the front desk and waiting areas are neat, organized, and well-stocked to create a calm, welcoming environment.
Clinical & Program Support:
Support the development and implementation of standard operating procedures (SOPs) administrative processes and treatment programs to ensure consistency, safety, and a high-quality patient experience.
Collaborate closely with practitioners, IV nurses, and other administrative team members to ensure seamless coordination of care.
Assist in preparing materials, forms, and communications needed for patient appointments or procedures.
Track patient progress and follow up upon program completion to ensure continuity of care.
Team & Process Development:
Participate actively in team meetings and contribute to ongoing improvement of clinic workflows and patient experience.
Bring initiative, creativity, and attention to detail to special projects, process innovation, and systems improvement.
Uphold confidentiality and compliance standards in accordance with HIPAA and clinic policies.
Ideal Qualifications:
Experience & Education:
Minimum 2 years of front office or administrative experience in a medical, wellness, or healthcare setting (integrative or functional medicine preferred).
Bachelor’s, Associate’s, or equivalent degree in health administration, psychology, business, or related field preferred.
Not an entry-level role however, training and mentorship provided for the right candidate.
Desire and capacity to grow as SFPMG continues expanding its leadership in integrative medicine.
Administrative & Operational Proficiency:
Proficiency with Mac OS X, Google Workspace, and Microsoft Office Suite.
Experience with Elation Health (EMR) and Spruce (phone) systems; familiarity with QuickBooks and Asana is a plus.
Strong attention to detail and ability to manage multiple priorities in a fast-paced environment.

Patient Experience & Communication:
Excellent interpersonal, written, and verbal communication skills with the ability to connect authentically with patients managing complex or chronic conditions.
