Responsibilities

-Invoice Management: Accurately create and send invoices in a timely manner.

-Collections: Monitor past-due invoices, follow up with clients via email and phone, and escalate to the Owner/Product Manager if payment is not received after multiple attempts.

-Outstanding Balance Reporting: Prepare and submit a detailed report of all outstanding balances every two weeks.

-Payment Processing (Checks): Receive, record, and track all check payments accurately.

-Wire Transfer Tracking: Monitor and update records for incoming wire transfers to ensure clients who have paid are not contacted for collections.

-Email Management: Regularly check and organize multiple company email accounts, including general, purchase order, and invoicing inboxes.

-Packing Slips: Prepare accurate packing slips for all outgoing shipments.

-Purchase Orders: Enter, open, and track new purchase orders within the system.

-Quoting: Prepare and send accurate client quotes upon request.

-Certificates of Conformance (CoCs): Generate and issue CoCs for applicable shipments.

-Employee Training & Company Manual: Oversee training programs and maintain the company manual to ensure policies are current and compliant.

Ideal Candidate Skills & Qualifications

-The ideal candidate will have the following skills and experience. Relevant education and training can be substituted for equivalent experience, and vice versa:

-Strong organizational skills with attention to detail and accuracy.

-Experience with invoicing, collections, and basic accounting practices.

-Proficiency in Microsoft Office (Excel, Word, Outlook) or similar tools.

-Excellent written and verbal communication skills.

-Ability to manage multiple tasks and priorities in a fast-paced environment.

-Experience working with purchase orders and packing slips.

-Familiarity with quality documentation such as Certificates of Conformance (CoCs).

-Problem-solving mindset with the ability to work independently and as part of a team.

-Prior experience in a manufacturing or production environment is a plus but not required.
