Position Overview
The Development Coordinator provides essential operational and administrative support for all fundraising and donor engagement activities at the Pro Bono Project Silicon Valley.
This role works closely with the Executive Director and plays a key role in implementing the organization’s fund development efforts. The Coordinator is responsible for maintaining systems, managing data, creating & implementing annual appeal campaigns, coordinating events, and ensuring timely and thoughtful donor communications.
This is an ideal role for someone who is highly organized, detail-oriented, and interested in growing their skills in nonprofit fundraising.

Key Responsibilities
1. Fundraising Campaign & Administrative Support
• Implement annual fund campaigns and special fundraising initiatives
• Maintain fundraising calendars, timelines, and task tracking
• Create donor segmentation and list management for outreach efforts
• Prepare materials and reports for fundraising activities

2. Grant & Institutional Fundraising Support
• Track grant deadlines, submissions, and reporting requirements
• Compile materials and data for grant proposals and reports
• Maintain organized records of funders, submissions, and outcomes
• Assist the Executive Director in writing grants

3. Event & Outreach Coordination
• Plan and execute fundraising events and donor gatherings
• Manage logistics including invitations, RSVPs, sponsorship tracking, and materials
• Coordinate event follow-up, including acknowledgments and data entry

4. Donor Database & Gift Processing
• Maintain and update the donor database (CRM), ensuring accuracy and completeness
• Process all gifts (online, checks, events) in a timely manner
• Track pledges, recurring gifts, and donor history
• Generate reports to support fundraising activities and decision-making

5. Donor Acknowledgment & Stewardship Support
• Prepare and send timely donor acknowledgment letters and emails
• Create and distribution of donor updates and impact communications
• Maintain systems for tracking donor recognition and stewardship activities

6. Communications Support
• Draft and format donor communications (emails, newsletters, appeals)
• Manage email distribution platforms (e.g., Constant Contact or similar tools)
• Ensure consistency in messaging, branding, and contact lists

7. Board & Leadership Support
• Prepare donor lists, reports, and briefing materials for the Executive Director and Board
• Track board and volunteer fundraising activities as needed
• Support meeting preparation related to fund development

8. Prospect Research
• Conduct research on potential & current donors, foundations, sponsors
• Compile profiles for ED or board use

Qualifications
• Bachelor’s degree or equivalent experience preferred
• 1–3 years of experience in nonprofit development, administration, or related field
• Experience with donor databases or CRM systems strongly preferred
• Strong organizational and project management skills
• Excellent attention to detail and ability to manage multiple tasks and deadlines
• Strong written and verbal communication skills
• Proficiency with Microsoft Office and/or Google Workspace
