As a federally qualified health care center, FoothillCommunity Health Center (FCHC) provides primary and preventive healthcareservices (medical, dental, and behavioral health) to the residents in theunderserved area of East San Jose. The Medical – Back Office Supervisor provides guidance andbroad supervision of all aspects of the medical back office function. The BackOffice Supervisor is responsible for the supervision of other staff in theirdepartment, as well as the supervision of day-to-day clinic processes andprocedures. The Supervisor must have regular communication with all staff, suchas other medical assistants, physicians or managers in order to complete andmake the daily operations run up to standard and provide the best customerservice to our patients. As a supervisor, you will be involved in the hiring,training, engagement and evaluating process of direct reports. The Back OfficeSupervisor will also act as a coach to enable problem solving within the clinicand will develop and focus on the mission and core values of Foothill CommunityHealth Center.
This position does require traveling to different cliniclocations, including the administration office as needed. Flexible schedule isrequired for evenings and weekends. The Back Office Supervisor position can betransferred to any FCHC location permanently or temporarily based on clinic andoperational needs.
DUTIES AND RESPONSIBILITIES
Maintains themselves and their staff updated in regards to changes or updates in protocols, processes, policies and/or procedures.
Assists with the hiring, training, retention and evaluation process of direct reports.
Audits, oversees and guides direct reports as needed.
Assists with compiling and preparing needful information or process for external audits.
Coordinates, organizes and direct the delivery of care in the medical clinic to assure smooth and efficient flow of patients.
Directs staff to provide direct patient care within scope of licensure.
Monitors treatment delivery time to ensure service standards and patient satisfaction.
Function as a team leader to ensure that patients are treated in a timely manner.
Conducts safety reviews of clinical area and corrects deficiencies as needed and requested.
Monitors material ordering for the department to assure adequate supplies.
Review and approve all back office supply orders in accordance with company policy.
Assist with administrative assignments as needed
Maintains patient’s confidentiality; complies with HIPAA and other Patient Privacy Policies.
Adheres to OSHA policies and reports any perceived hazards to their manager or appropriate personnel upon discovery.
Attends OSHA and other training programs as required.
Attends all regular staff meetings/huddles.
Follows all safety procedures and report unsafe conditions to ensure an injury-free work environment.
Uses appropriate ergonomic measures to reduce risk of work-related injuries within the department.
Collaborates with other departments within the organization, as needed.
Directs the staff to provide the best service to our patients and the community.
Must be able to travel and work at all applicable locations.
Availability to work all operational hours as needed.
Other tasks and projects as assigned by supervisor, manager and/or director.

Ability to effectively manage client/patient complaints and defuse angry situations.
EDUCATION AND/OR EXPERIENCE
College degree or diploma in Medical Assisting required andCCMA or AAMA certification preferred; additionally must have one to two yearsof experience as a Medical Assistant. Supervisory experience in the medicalfield preferred, but not required.
