Below is the scope of work for our upcoming event. If this opportunity interests you, we’d love to hear more from you—please see a few questions at the bottom.
We are currently seeking a photographer for Silicon Valley Space Week, a three-day business and technology conference focused on the space industry. We’re ideally looking to build a long-term relationship with a local photographer for this and future events.
Photography Scope
We’re looking for comprehensive coverage across the three days, including:
Sessions:
-Wide shots of panels
-Close-ups of each speaker
-Audience engagement shots
-(A list of key sessions/speakers will be provided)
Sponsor Branding:
-Capture sponsor signage and booths throughout the venue
-Some sponsors may require shots at specific times (e.g. during lunch or evening receptions)
Networking & Atmosphere:
-Candid shots of attendees, exhibitors, registration, and the general event experience
Deliverables
-Daily Raw Photo Dump:
-At the end of each event day, please provide raw (unedited) photos so our internal team can quickly pull content for same-day social media posts and daily news recaps.
Same-Day Light Edits (Optional):
- If you are able to provide lightly edited images by day’s end, that’s a huge plus.
Final Delivery:
-High-resolution, fully edited photos are expected within 1–2 weeks post-event. Files should be unwatermarked unless otherwise discussed.
We Will Provide
-Full event agenda with session and speaker details
-Sponsor and venue layout map
-Google Drive folder for uploads
-A registration code and event app link
-Complimentary access to all venue food (drinks, breakfast, lunch, and evening hors d’oeuvres during all 3 days)
Please Include in Your Quote
-Your flat rate or total fee for full three-day coverage
-Turnaround time for final edited photos (if applicable)
-Confirmation that we will have full rights to use the photos for marketing, promotional, and social media purposes
Please note: We will be paying a flat rate for this job. That means we will not be offering additional reimbursements for meals, travel, or other expenses.
