InnerVoice Vocal Studio is a specialty company that provides customized in-person and online coaching for singing, communication, presentation and public speaking.
Whether singing out or speaking up, we work with each client's goals, learning methods, personality, and lifestyle, to maximize individual results. We create a safe, comfortable, nurturing and inviting atmosphere for busy working adults to break down barriers and build confidence while learning new skills.
Our business is such that instead of our clients coming to us, we go to them throughout San Francisco and the South Bay. That means that while you will technically be the 'face' of the company to clients and potential clients, you won't be sitting at a reception desk, or answering phones. With the exception of new hire training and occasional meetings scheduled at mutual agreed upon times, you can work remotely. You and the owner/manager will collaborate to develop a schedule, systems, and workflow that balance the needs of the company with your personal schedule needs.
Role & Responsibilities:
In this vital role you will work directly with the owner/manager to ensure that things run smoothly day to day. Though the role will expand and evolve over time, these are the fundamental responsibilities:
‣ Customer Service
Onboarding new clients.
Handling all scheduling, cancellations, and rescheduling.
Managing weekly payments and monthly automated billing.
Researching and booking meeting locations.
Keeping event listings and event calendars up-to-date.
Updating the website.
Managing client information and lists.
Sharing posts, content and information on social media.
Managing company Yelp listings.
Collaborating to develop more effective and efficient business systems and policies, implementing, and managing them.
Organizing information and materials in Google Drive.
Other occasional customer service, marketing or operations duties that arise during the normal course of business.
‣ Experience and Education
2+ years of direct experience with appointment scheduling and billing in a busy environment.
Advanced working knowledge of an online scheduling and payments platform. MINDBODY preferred.
Working knowledge of these (or similar) services:
GSuite: Gmail, Google Drive, Google Docs, Google Sheets, Google Voice
Social media: Instagram, Facebook, Pinterest, Yelp
Strong customer service background.
Superior communication skills.
Bachelor's degree preferred.
‣ Personality and Workflow
Self motivated and able to work independently with strong time management skills to meet deadlines.
Able to keep the bigger picture in mind in order to prioritize and execute on a variety of tasks in a timely fashion.
Able to ensure that all work is completed with a high level of attention to detail and accuracy.
Impeccable communication skills (written and verbal).
Warm, friendly and patient with clients from a variety of backgrounds, with differing needs, expectations and communication abilities. Also able to be firm, and maintain clear boundaries when necessary.
Interested in developing new systems, and contributing to the growth and evolution of a small, local, woman-owned business.
Creative and adventurous with a willingness to explore, experiment, learn, stumble, and laugh as you go.
Details about the Position:
This is a part-time, contract position.
$20-25/hour + 1 complimentary session per month.
4-6 hours/week to start, with the opportunity to expand role and hours in the future.
Work from home (except for new hire training and occasional meetings scheduled at mutual agreed upon times).
