ESSENTIAL DUTIES AND RESPONSIBILITIES
● Greets and directs visitors, including administrators, staff, parents/guardians, and the
public. Ensures visitors are properly authorized to be present on campus.
● Responds to inquiries and provides information or assistance related to school operations,
programs, activities, policies, and procedures. Takes messages from parents/guardians
and relays them to students.
● Serves as a technical resource to students, parents/guardians, staff, administrators and
personnel; responds to inquiries, complaints, problems and requests, schedules
appointments and assists with scheduling parent/teacher conferences, and researches
answers to provide accurate information.
● Uses 2-way radio and other communication systems to maintain contact with staff and
partner agencies.
● Compiles information, prepares and accurately maintains records, logs, and reports
related to school programs, volunteers, accident reports, employee absences, work
permits, financial activity, bus passes, budgets, and timesheets.
● Oversees field trip processes.
● Oversees site-based support for certificated and classified substitute processes and
communications and maintains respective substitute databases and form completion.
● Maintains confidential filing systems, records, logs, and cumulative students files.
● Maintains the accuracy of electronic data, initiates queries, forms, and generates
computerized lists.
● Independently composes, from oral or written instructions, a variety of communications
including but not limited to, forms, letters, memoranda, bulletins, agendas, labels, fliers,
requisitions, handbook revisions, annual “back-to-school forms, newsletters, brochures,
certificates and other written materials.
● Researches, compiles, and verifies data and information. Computes statistical information
and data for reports, processes forms and applications. Collects, and/or processes mail,
keys, completed forms, and checks applications.
● Monitors inventory levels of office and instructional supplies. Orders, receives and
maintains appropriate levels of inventory. Processes requisitions, reimbursements, and
invoices.
● Monitors budgets, initiates transfers, and provides regular updates.
● Operates bell system when not utilizing a programmed schedule.
● Maintains office equipment and submits orders for maintenance/repairs.
● Familiarizes new personnel, substitutes, and volunteers with school programs,
procedures, and use of school equipment.
● Supports school nurse in maintaining health records, oversight of student medication
authorization and use.
● Assists parents/guardians to complete enrollment and verification of residency; collects
and files related documents.
● Assists with scheduling and supporting school-based and parent/guardian events and
activities.
● Assists in maintaining a safe environment by reporting actual and perceived accidents,
rule violations, and environmental hazards and conditions. Supports and participates in
emergency preparedness.
● Uses a firm, warm and professional demeanor toward students while maintaining
consistent routines and enforcing school rules and procedures. Follows site protocols and
procedures for behavior management (e. g., conflict resolution, office referrals and
positive rewards).
● Exercises sound independent judgment in discipline matters. Shall not use corporal
punishment. Refers serious problems to the teacher, Principal, or designee.
● Attends school and district meetings, as assigned, to convey, provide input, and/or gather
information related to assigned functions.
● Assists in locating missing and/or eloping pupils. Supervises students in the office.
● Evaluates health and medical emergencies, administers routine first aid (e. g., band aids)
and, if authorized, CPR.
● Completes required health and safety trainings, administers First Aid, including but not
limited to AED, Narcan, EpiPens, and supports emergency/disaster preparedness.
● Assists with monitoring detention, discipline referrals, late student arrivals and absence
tracking entries.
● Other related duties as assigned.
EDUCATION AND/OR EXPERIENCE
● High School graduate or the equivalent and/or clerical/office work experience.
