ABOUT THE POSITION The Administrative Assistant (“Admin.”) will be replacing the current Admin. who has been with Magnum for 13 years but has accepted a full-time job and will assist in the transition. The Admin. will report to the Founder and President of the Company. He/she will be part of a team and will work with a small, but seasoned group of ancillary and affiliate professionals who support the activities of the Company. This includes working closely with the Company’s Bookkeeper.
Occasionally the workload and circumstance can be intense, and deadline driven. The ideal candidate must be comfortable jumping into the position with a positive attitude, high energy, discretion, professionalism, excellent judgment, flexibility and a sense of humor. This is a part time position, approximately 6-8 hours per week, is flexible, but often requires regular interaction via email or phone, and preferably one-half day per week in the Company’s offices for “face-time.”
Day-to-day responsibilities include but are not limited to: managing incoming calls and internal and external correspondence, scheduling domestic & international travel arrangements, preparing business expenses, and handling various confidential projects that involve both the business and appropriate personal affairs and occasional errands for the President. The candidate should be comfortable in attending and participating in Client meetings and must have good writing and verbal communication skills. The Admin. will also need to have the ability to manage occasional projects including, but not limited to internet research, organizing Client materials (including PowerPoint) and managing other office and personal affairs for the President.
The Admin. must have a high energy level, excellent people skills and good intuition, be able to multitask, and manage time wisely, handle confidential and pressing matters with professionalism and ease, be an independent self-manager, have excellent focus and attention to detail and excel at prioritizing and reprioritizing. But, most of all, the Admin. must have outstanding Follow Up skills!
SPECIFIC & PREFERRED REQUIREMENTS The ideal candidate will have a minimum of five years’ experience in a comparable or almost comparable Admin. position with exceptional interpersonal communication skills and be open to constructive criticism/feedback. Having prior experience in the ophthalmic, medical, venture capital or investment banking industry is strongly preferred. A college degree is highly desired. Working knowledge of MS Outlook, Word, Excel and PowerPoint are also essential. Candidates also needs to be comfortable working alone or remotely when the President is out of the office. Because of the job requirements, the ideal Admin. should reside in Marin County, and candidates will not be considered if they live more than 30 minutes from central Marin. Candidates should also be comfortable occasionally working at President’s private residence in Kentfield from time to time. Professional references will be required of final candidates.
COMPENSATION, BENEFITS & WORK SCHEDULE
Hourly: TBD (D.O.E) + Discretionary Bonuses
Benefits: Gas and phone allowance
Work Schedule: Is flexible to accommodate both the Admin and President’s schedules and occasionally special/time-sensitive projects. The position will need approximately 8 to 10 hours of your time per week and will require that the Candidate be able to access the internet from home. Occasional Saturdays and evenings may also be needed. This position also offers the ability to telecommute about half the time.
