We are seeking a highly organized and experienced office assistant to join our quickly growing organization. The ideal candidate will have experience in data entry, customer service, and must be a team player.
Objectives of this role:
• Serve as the eyes and ears of the office, providing information as requested, answering questions and assisting customers as needed.
• Achieve organizational goals while adhering to best practices
Responsibilities
• Help manage the front-desk and reception areas, serving as the first point of contact for customers, employees, and vendors.
• Perform general administrative tasks, such as answering and directing phone calls, handling email, files, mailings, and deliveries; and assisting with invoicing, AR/AP, certified payroll, and job bidding / estimating.
• Help keep the office clean, stocked, and organized
• Help order office supplies, stock supply stations, and ensure equipment is operable
• Maintain filing system, contacts database, and employee lists.
Required skills and qualifications
• Proven success in office coordination
• Excellent written and verbal communication skills
• Strong time-management and multitasking abilities
• Proficiency with office applications, and aptitude for learning new software and systems – we will fully train you on our systems.
• Ability to maintain confidentiality of company information
• High school diploma or equivalent
