About the job:
The Operations & Outreach Assistant will report to the Director, Finance & Operations and provide additional support to the Director, Marketing & Outreach. The ideal candidate is a proactive, well-organized, flexible, tech-savvy, team player with excellent communication skills. S/he must be comfortable interacting with individuals at all levels in the organization and be able to successfully support the fast-paced and dynamic work of senior-level colleagues.

In this position, you will:
 Manage all IHA bookkeeping functions (accounts payable, accounts receivable, invoices, deposits, expense reports, credit card statement reconciliation) and internal controls in compliance with IHA operational policies and procedures
 Monitor individual departmental and grant budgets, and the consolidated IHA operating budget; reconcile monthly banking statements to financial reports
 Manage payroll and communicate deadlines and processes to IHA staff and management teams to ensure payroll and time and effort reporting are achieved within required timeframes
 Organize and maintain vendor/consultant agreements and contracts
 Support HR processes and timelines
 Maintain and update contact databases, manage distribution lists, and recommend ways to leverage information and maximize value of contact management system
 Support content development, updates, and analytics reporting for IHA's websites, social media channels, newsletters, and email campaigns
 Support marketing team to help ensure content and communications are sent to appropriate stakeholders in a timely manner
 Maintain an up-to-date marketing & communications calendar
 Coordinate with vendors and consultants for the development and production of publications, promotional materials, and other collateral
 Support IHA staff with conference, meeting, and trade show logistics, presentations, and organization
 Support other office administration and operations tasks including answer and screening/directing calls, distributing mail, ordering supplies, preparing meeting materials, etc.

You have the following:
 Experience working in a professional office environment, preferably for a nonprofit organization or healthcare-related business
 Proficiency with all Microsoft Office applications
 Exceptional verbal communication skills, an excellent telephone manner, and a customer service mentality
 Ability to interact successfully with people of all levels inside and outside IHA
 Comfort working independently
 Strong sense of priorities/objectives and ability to anticipate staff's needs
 Sound judgment and discretion when handling sensitive and confidential information
 Demonstrated past success, and enjoyment from working in a small, fast-paced, professional environment
 Desire to be helpful in any way needed to support the team, program, and organization
