Job Summary:
The Safety Coordinator is responsible for supporting and maintaining a comprehensive Environmental, Health, and Safety (EHS) program. This role ensures compliance with Cal/OSHA regulations, company safety policies, and industry best practices while promoting a proactive safety culture among office employees, shop employees, warehouse personnel, drivers, and field installation crews. The Safety Coordinator conducts inspections, coordinates training, implements safety events, investigates incidents, and assists in implementing corrective actions to reduce workplace injuries and property damages.
Essential Duties and Responsibilities
Safety Compliance
• Ensure compliance with Cal/OSHA, OSHA, and applicable California safety regulations.
• Assist in maintaining the company's Injury and Illness Prevention Program (IIPP).
• Monitor compliance with Hazard Communication, Lockout/Tagout, Respiratory Protection, Hearing Conservation, and PPE programs.
• Maintain required safety records, reports, and documentation, including OSHA 300 logs and incident reports.
• Lead the redevelopment and ongoing management of the Safety Committee by establishing accountability, meeting schedules, action items, and follow-through to drive continuous safety improvements.
Shop Safety
• Conduct routine inspections of millwork production areas including:
o CNC Machines
o Table saws
o Edge banders
o Wide belt sanders
o Panel saws
o Dust collection systems
o Finishing and spray booth operations
o Hand tools (i.e. routers, skillsaw, chisels…etc.)
• Verify machine guarding and safety devices are functioning properly.
• Monitor housekeeping practices to reduce fire hazards and combustible wood dust accumulation.
• Ensure proper storage and handling of wood products, adhesives, solvents, stains, and coatings.
Field Installation Safety
• Conduct jobsite safety audits for installation crew.
• Verify compliance with fall protection, ladder safety, scaffolding, material handling, and tool safety requirements.
• Review Job Hazard Analyses (JHAs) and site specific safety plans.
• Coordinate with General Contractors regarding project safety requirements.
• Assist and/or facilitate Weekly Toolbox Talks
• Ensure proper SOPs for material handling & storage
Fleet Safety
• Oversee the maintenance of the company's vehicle fleet, ensuring timely inspections, preventive maintenance, repairs, and service schedules.
• Maintain compliance with all vehicle registration, insurance, licensing, and documentation requirements.
• Develop, implement, and enforce fleet and driver safety programs to promote safe driving practices.
• Ensure only authorized, qualified, and properly trained employees are approved to operate company vehicles.
• Investigate vehicle accidents, incidents, and near misses.
Office Safety
• Conduct routine inspections of office workspaces, break rooms, conference rooms, and common areas to identify and correct potential safety hazards.
• Coordinate workstation for ergonomic assessments and recommend adjustments to reduce repetitive stress injuries and musculoskeletal disorders.
• Maintain emergency evacuation plans, emergency contact lists, and workplace emergency procedures.
• Coordinate and document emergency drills, including fire, earthquake, and evacuation exercises.
• Inspect and maintain first aid kits, AEDs, emergency lighting, fire extinguishers, and other emergency equipment.
• Investigate office related incidents, injuries, and near misses and implement corrective actions.
• Ensure proper storage and use of office equipment, supplies, and chemicals used in administrative areas.
• Provide employee training on office safety topics, including ergonomics, emergency response, workplace violence prevention, and injury reporting procedures.
• Partner with Human Resources to support workplace wellness initiatives and maintain a safe and healthy work environment for all employees.
• Monitor compliance with California Indoor Heat Illness Prevention requirements where applicable and maintain indoor air quality awareness.
• Support business continuity planning and emergency response preparedness for office operations.
Training and Development
• Conduct new hire safety orientations.
• Deliver toolbox talks and monthly safety trainings.
• Coordinate required certifications and trainings for:
o Forklift Operator Training
o First Aid/CPR
o Respirator Fit Testing
o Hearing Testing
o Heat Illness Prevention
o Hazard Communication
• Maintain employee training records and certifications.
Incident Investigations
• Investigate accidents, injuries, near misses, and property damage incidents.
• Identify root causes and recommend corrective actions.
• Track corrective action completion and effectiveness.
• Assist and partner with Human Resources for workers' compensation documentation and return-to-work programs.
Safety Audits and Reporting
• Conduct routine facility and jobsite safety inspections.
• Prepare safety reports and communicate findings to management.
• Monitor safety metrics and trends.
• Participate in Cal/OSHA inspections and audits when necessary.
Required Skills and Qualifications:
• Associate’s or Bachelor’s degree in construction management, business, or a related field is preferred.
• 2 – 5 years of safety experience in manufacturing, millwork, woodworking, cabinetry, construction or related industries.
• Experience working with OSHA regulations and California safety programs preferred.
• Strong attention to detail and organizational skills.
• Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
• Excellent communication skills, both written and verbal.
• Ability to work independently and as part of a team.
• Strong analytical and problem-solving abilities.
• Ability to manage multiple tasks and meet deadlines.
• Proactive and positive attitude.
• Bilingual (English & Spanish), both written and verbal.
Working Conditions and Physical Requirements:
• Office setting and visits to project sites.
• Ability to walk floors and active construction sites.
• Frequent standing, walking, and lifting up to 50 lbs.
• Ability to wear required PPE.
• Visits to both offices in Fremont, CA and Sacramento, CA.
• Travel up to 50% of the time within the nine (9) Bay Area counties.
