East Bay Asian Local Development Corporation (EBALDC) is seeking a regular full time Administrative Assistant at the EBALDC Main Office located in Oakland, CA.
The Administrative Assistant provides support to Executive and HR and Administration departments, including filing, invoices processing, front desk reception, main handling, data entry, document and expense tracking. The Administrative Assistant will from time to time be assigned special projects, such as overseeing reports or coordinating events.
Key Duties and Responsibilities:
Support staff events (annual retreat, staff fun day, holiday party) in conjunction with appropriate staff and participate in the Fun Committee
Respond to service requests through HR Service Request Ticketing system
HRIS data entry and system support
Data collection and entry in appropriate system
Coordinate preparation of reports, analyze data, and identify solutions.
Key fob administration
Support with recruitment and onboarding including providing hiring managers with resumes from Paycom, scheduling interviews or group meetings
Assistance with new hire orientation including preparation of materials, greeting new employees, setting up welcome meetings and other related onboarding tasks
Front desk reception
Filing and other clerical duties
Assist in assembling materials for presentations
Meeting and event scheduling and support
Supply ordering, including business cards
Take notes during certain meetings (to be decided by Director) and disseminate action items
Support with minute transcription as needed
Special projects and other duties assigned
Required Knowledge, Skills & Abilities:
Associate or Bachelor's degree or equivalent experience
Proficiency in Microsoft Office applications, including Word and Excel
Strong verbal and written communication skills required
High level of organization, attention to detail, and ability to complete tasks
Strong interpersonal communication skills required, both written and verbal
Ability to manage confidential business information in an appropriate manner
Self-starter with ability to work in a relatively independent environment; flexibility to operate in a fast paced, team-oriented office environment
Excellent customer service skills
Good organization skills, with the ability to file and systematize both paper and electronic documents
Basic budget development skills, utilizing Microsoft Excel
Ability to learn quickly and adapt to job responsibilities
Ability to manage multiple tasks and projects with shifting priorities
Ability to speak and present effectively individually or before groups of residents or staff of the organization.
Ability to work with a diverse group of clientele and staff; sensitive to cultural diversity
Computer literacy with proficiency in MS Word, Excel, Outlook and YARDI
Valid California driver's license and ability to travel to various locations in the East Bay
Commitment to EBALDC's mission, with an interest in community development, services, or advocacy toward building healthy, equitable and sustainable urban neighborhoods
Ability to sort through files
Ability to sit at a computer and type for extended amounts of time
Ability to walk, stoop, bend, and/or squat and reach below, or above shoulder level to work with files.
Ability to lift items up to 25 pounds.
