POSITION: Development & Foundation Administrator
REPORTS TO: JCEF Senior Program Officer, MZHF Grants Manager, and senior JCEF staff members.
GENERAL DESCRIPTION: Comprehensive administration/management of supporting foundations and other funds administered by the JCEF; Development-related activities for foundations and/or other JCEF funds
KEY RESPONSIBILITIES INCLUDE:
Supporting Foundations:
1. Play a key role in the coordinating/administering activities of a large JCEF supporting foundation, including grant-making and acknowledgement activities, board meeting preparation, development and marketing initiatives, and evaluation processes.
2. Assistance with various development activities, including direct mail and gift tracking.
3. Processing, acknowledging, and tracking of grant proposals, letters of inquiry, and gifts of cash and other assets to foundations.
4. Comprehensive grants administration, including monitoring approvals, requests, payments, and special requirements for grants to a wide variety of local, national, and international organizations.
5. Coordinate foundation requirements with Senior Program Officer, MZHF Grants Manager, Accounting, and Marketing, outside legal counsel, and donors, as relevant.
6. Facilitate board meetings based on existing meeting calendar, including identifying and confirming meeting dates, agenda items, and catering, as well as preparing and distributing all relevant information to directors in clear, organized format.
7. Review of meeting action items and details with senior Endowment staff; drafting meeting minutes to be kept as official record for grant-making decisions, record of stipulations, etc.
8. Field and respond to questions from variety of staff and lay leaders regarding specific foundation issues, as appropriate.
9. Maintain a master calendar of meeting and election dates to ensure compliance with requirements set forth in corporate Bylaws.
10. Maintain existing foundation files in an organized fashion and develop new record-keeping systems as needed.
Restricted Funds:
1. Arrange advisory committee meetings as needed, including timely preparation and distribution of all relevant information to committee members/staff in a clear and organized format
2. Process and track requests/payments for several restricted-purpose funds.
3. Ensure that specific reporting requirements related to different funds are met in a timely manner.
4. Draft correspondence and follow-up information to donors/agency executives as necessary.
Event Planning:
1. Assume lead role in coordinating/collaborating with other staff members to plan and execute the JCEF Annual Tax & Estate Planning Seminar.
Other:
General administrative duties that include, but are not limited to the following:
1. Draft and word process documents (e.g. letters, memos, minutes, faxes, etc.) and mailings
2. Assist with the development of foundation newsletters/periodicals, and support maintenance of foundation website.
3. Cross-train within the department/provide back-up support for additional funds and foundations as needed.
QUALIFICATIONS:
-Excellent organizational and time management skills, including the ability to handle and prioritize multiple assignments from multiple supervisors simultaneously with a high degree of accuracy.
-Excellent written and verbal skills.
-High degree of attention to detail.
-Ability to handle confidential materials.
-High-level of computer literacy (MS Office 2000), including ability to establish systematic computer files, and previous success in learning new systems and/or protocols.
-Experience in a fast-paced work environment.
