Education and Experience:
Associate degree in Accounting or Business or equivalent experience preferred
Minimum 5 years related experience in: Office Executive Assistant experience and intermediate accounting / bookkeeping
This position is responsible for A/R, A/P, Contract Management, Campaign Processing, Database Management and serves as an Assistant to the Finance Director.
Examples of Duties:
Complete A/P Functions from entering invoices to check disbursement
Set up and maintain vendor files, including yearend 1099s.
Maintain A/R records, prepare and track bank deposits and reconcile these daily and monthly to the G/L
Assist in monthly A/R billing and collections
Maintain an A/R spreadsheet for Campaign and all United Way programs
Prepare a variety of spreadsheets for tracking various financial transactions
Enter monthly, quarterly and annual recurring Journal Entries
Monthly reconciliation responsibilities
Assist in monthly closing and financial statements
Help in preparing for the annual audit and year end closing
Contract Management and Filing of Contracts
Ability to enter and analyze budgets
Assist Finance Director with daily tasks as needed
Maintain accurate ,complete, donor records
Post information to campaign accounts including campaign pledges, payments and adjustments
Review A/R status of accounts and investigate large variances, prepare a report ands corresponding correcting entries when necessary
Ability to analyze Campaign trends and report to departments
Prepare invoices for special campaign accounts that require billing
Maintain files on all required forms and certifications from funded agencies (e.g. Patriot Act Compliance Form, State Certifications, IRS Determination Letter, etc.)
Maintain database, prepare letters, lists and labels as required
Maintain Kickoff/Victory/Golf list of attendees and payments
Maintain mailings list for annual and special direct mail to donors
Design and compile special reports as requested
Maintain large donor database, track and/ or send Thank You notes as requested
Order awards, plaques, for special events and LGC donors
Other task as requested by the Campaign Directors
Required Qualifications
:
Experience/knowledge of:
Strong accounting experience
Strong administrative experience
Strong verbal and written communication skills
Good customer service
Financial analysis skills
Proficient in Microsoft applications including Word, Excel and Outlook
Data entry accuracy a must
Ability to successfully complete a variety of projects in a timely manner
Ability and willingness to learn new programs
Database Management
General administrative skills including: creation of systems, typing, and filing
Desired Qualifications:
Experience/knowledge of:
Experience with Fund Accounting
Experience using MIP, and Rainbow fundraising software
Skill/Ability to:
Have the desire to complete work timely and accurately the first time.
Attention to detail and initiative to improve practices and policies
- Compensation: $14.82-$21.02 per hour, dependent on applicants years of relevant education and experience. Health and dental insurance after one full month of employment; 8% of salary contribution to employee's 403(b) retirement account after one full month of employment; and liberal vacation, holiday, and sick leave policies.
