We are looking for an experienced and extremely organized person to be an administrative assistant for our CEO and other staff. You will handle a wide variety of tasks. Initially half-time, may grow to full-time.
We help organizations make "green decisions": We offer analytic software tools and consulting to help organizations assess their energy use and environmental footprint, and figure out the most cost-effective ways to reduce them. Our clients include start-up companies, large companies, and government, US and global. We are an established, small company (8 people), and growing.
RESPONSIBILITIES INCLUDE
* Manage a small office, organize and maintain filing system, help select and manage office services, such as telephone, internet, web-conferencing, printing.
* Schedule and coordinate meetings, web conferences, travel, and events with staff and customers.
* Collect timesheets from consultants, generate invoices.
* Assist in managing, and tracking consulting contracts.
* Basic HR, such as assisting in benefits management and recruiting.
MUST HAVE
* Outstanding organizational skills, with reliable follow-up, and great attention to detail.
* Ability to track and prioritize multiple tasks and projects in a fast-paced environment
* Excellent communication in speaking and writing with clarity and professionalism.
* Enjoys interacting and working with coworkers and customers around the world.
* Good skills with MS Word, Excel: For example, you can manage and edit contact lists in a spreadsheet, and do simple budgets.
* Ability and interest in learning new software and IT skills.
* Bachelors or graduate degree, preferably in something technical.
* Fearless ability to dig into complex problems and figure out practical solutions.
NICE TO HAVE
As a small company, each of us wears many hats. It would be great if you have experience or want to gain experience in any of these areas:
* IT, purchasing, installing, and managing simple IT hardware and software
* Experience with using Quickbooks.
* Meeting facilitation and project management
* Writing and editing items for newsletter or web site.
* Research prospective customers and new markets.
* Energy use and climate change: A passion to help move the world onto a more sustainable path.
We are mostly virtual (work from our homes), with 2-3 people working from CEO's home office located at a beautiful spot in the Santa Cruz Mountains, a 30-minute commute from Santa Cruz or San Jose. Once you are up to speed, you can telecommute part of the time. In the next few months, we expect (with your help) to find and move to a new office, probably near Los Gatos.
- Compensation: $20 to $35/hr ($40K to $70K/year)
