The Education Program for Gifted Youth (EPGY) at Stanford University provides gifted students around the world with an opportunity to take advanced courses both online and through residential summer programs. Responsibilities:

The Director of Finance and Administration (DFA) for EPGY has broad responsibility for the financial and administrative operational aspects of EPGY, and will directly manage EPGY’s Human Resources personnel, EPGY’s financial personnel, and EPGY’s general administrative support personnel. Working closely with the Deputy Director, the DFA is responsible maintaining, implementing, and enforcing the EPGY Operations Manual (EOM) and for ensuring that all EPGY activities conform to university policies and business practices.

As regards the HR aspects of the position, the DFA will be responsible for maintaining the EPGY organizational chart, for ensuring that accurate position summaries exist for all positions, for ensuring that employees are properly classified with the job classification code system, for developing new and more appropriate job classification codes specific to EPGY’s unique activities, and for oversight of all matters related to staff compensation, including annual salary program, bonus plans, and supplemental payments.

The DFA will have broad responsibility for providing accounting, management support, and reporting for EPGY across its collection of designated funds, gift funds, and sponsored projects. The DFA will work with the Controller’s Office to ensure that the Chart of Accounts / PTA structure is appropriate for EPGY’s set of activities. The DFA will develop financial models to facilitate evaluation of the financial impact of EPGY’s existing and proposed activities. Included in this process will be the development of ever better methods for tracking the allocation of effort and expenses by shared service groups, for tracking expenses associated with particular projects, and for holding particular projects accountable to their commitment budgets. The DFA will have ultimate responsibility for the production of budgets, budget reports, and variance reports, and will prepare formal reports on EPGY’s finances for the EPGY Oversight Board.

The DFA will have responsibility for the oversight of contracts and purchasing at EPGY, as well as for the payables and receivables due under these agreements. Given EPGY’s entrepreneurial nature, it is essential that the DFA be well versed in areas of risk management, particularly as pertains to financial risks, and will be responsible for ensuring that appropriate steps are taken to ensure that risks are documented and mitigated.

As regards the on going maintenance, development, and enforcement of the EPGY Operations Manual (EOM), the DFA will work closely with the Deputy Director to ensure that all aspects of the organization conform to established management practices, policies, and procedures. This will often involve training and mentoring of division managers and finance staff. Towards this end the DFA should be familiar with university systems and with the training required for staff to efficiently utilize these systems. Furthermore, the DFA should realize that the EOM is a living document, which will adapt as circumstances change.

The DFA will serve as a primary point of contact between EPGY and other departments and groups within the university, and will be expected to have a thorough understanding both of the wide range of EPGY’s activities and of the functioning of the different areas of the university on which EPGY depends, in order to assure that EPGY’s interests are adequately represented and that EPGY’s needs are met in a timely manner.

Qualifications:

The DFA must have expert knowledge in financial and business administrative matters, including forecasting, strategic planning, auditing, and business management. The DFA must be able to effectively and efficiently apply University policies, procedures, practices and systems in accounting, financial management and reporting. Demonstrated knowledge of Stanford University financial and decisions support systems (Oracle Financials, Business Objects, Hyperion Planning), or experience using similar systems, is required.

The ideal candidate will have strong leadership, interpersonal and analytical skills, will think creatively and apply creative problem solving skills to complex problems. The DFA must be able to collaborate with peers, work effectively in a team environment, participate as a team member, lead teams, resolve conflict, negotiate, listen and synthesize information, and the ability to build consensus. It is essential that the DFA be able to maintain the highest standards of written and spoken communication, be able to write effective financial and administrative policies and procedures, and be able to enforce such procedures across the organizations. The DFA must also be able to work effectively in a fast-paced, and sometimes ambiguous environment, with changing priorities, and with multiple simultaneous projects that require attention.

Other desirable attributes for the DFA include a thorough understanding of need for documentation with strong organizational skills and flexibility in work style; have a strong customer service orientation with ability to work with employees at all levels; demonstrated experience in areas requiring close attention to detail and concern for accuracy, thoroughness, and consistency; and have excellent analytical & computer skills required; expert-level skills in Microsoft Excel including creation of complex formulas, advanced use of pivot tables, conditional formatting, filtering, linking across worksheets and files, scenarios, and charting.

A bachelor’s degree is required. An MBA or JD, or comparable coursework, would be preferred. A CPA would be desirable.
