<description><![CDATA[Under the supervision of the Document Processing Services (DPS) Production Supervisor, Sr. DPS Coordinator, or DPS Manager, the DPS Operator II is responsible for processing work assigned within the DPS Department including preparing, formatting, revising, proofing and printing documents in accordance with Firm standards and quality control practices, and producing an excellent work product in a timely manner; and <br>
DPS Operator II is highly proficient in many software programs utilized by the DPS Department, and is able to troubleshoot and lend guidance with software-related and document processing procedural questions and issues. <br>
<br>
• Receives jobs from the DPS Production Supervisor or Sr. DPS Coordinator and processes same in a timely and precise manner, including, but not limited to, preparing, formatting, revising, proofing and printing legal and non-legal documents; <br>
• If instructed, contacts employees who submit job requests to DPS (Users) regarding work in progress, and returns completed work by the deadline as specified by the User; <br>
• Performs update entries into the electronic job submission and workflow tracking software system in accordance with department procedure; <br>
• Prepares documents from hard copy, email, fax or tape format or from verbal instructions; <br>
• Retrieves, sends and re-files paper documents and documents in electronic format from/to the Firm’s network and Firm-approved outside sources; <br>

Education:   <br>

Strong communication skills are essential, as you will communicate with attorneys and clients.  Good attention to detail, problem solving, editing and proofreading abilities are also key.  Working knowledge of FileSite and time entry programs, specifically DTE desired.  Proficiency in Windows-based software, including Microsoft Word, Excel, PowerPoint, and Outlook preferred.

3.Prints documents from database or e-mails.<br>
4.Copies and scans documents, creates binders and coordinates documents for projects.<br>
5.Maintains Matter Centric Workspaces filing and local document files.<br>
6.General office organization and file cleanup, as requested.<br>
7.Updates loose leaf department periodicals on a timely basis.<br>
8.Coordinates travel arrangements.<br>

<b>POSITION SUMMARY:</b><br>
This is an excellent position for a recent college graduate, “jack of all trades,” who has a clean driving record, can drive a van, can lift up to 65 lbs., and wants to learn about court operations.  The position reports to the Procurement Supervisor and is located in the Procurement Department of the Clerk’s Office in San Francisco, one block from the Civic Center BART/Muni station.  Integrity, accountability, flexibility and customer service are key components of this job.  During “court weeks,” when cases are heard by the judges, the intern may be required to work past 6:00 p.m. <br>

<br>
<b>REPRESENTATIVE DUTIES:</b><br>
•	Receive, inventory, stock and deliver office supplies and furniture.<br>
•	Receive, sort and process mail.<br>
•	Set up courtrooms and space (including chairs, TVs, etc.) and assist with in-house moves and furniture installation. <br>
•	Light handiwork: Hang pictures/clocks, replace bulbs, assemble shelving and other items.<br>
•	Court vehicle: report mileage, take for preventive maintenance, provide occasional shuttle service to judges.<br>
•	Research and find products on the internet to fill requests.<br>
•	Troubleshoot and maintain office equipment; read usage meters and enter readings in a spreadsheet<br>
•	Other duties as assigned.<br>

<b>QUALIFICATIONS:</b><br>
•	High school graduation or equivalent, plus two years of general experience.  College degree may be substituted for the two years of general experience.<br>

Job Responsibilities:  The Executive Assistant provides administrative and project support to the Executive Director of PIC and LAAC.  This is an entry-level position that provides an excellent opportunity to interact with the legal aid community and to support statewide efforts to increase access to justice. Support to the Executive Director:<br>
- Serve in an administrative and professional capacity to the Executive Director across all job responsibilities;<br>
- Assist the Executive Director in the management of schedules, phone calls, voicemail messages, and email;<br>
- Maintain filing system for the Executive Director’s management and project-related files;<br>
- Prepare and proofread external correspondence and publications;<br>
- Make travel arrangements and prepare reimbursement forms.<br>

Support to the Boards of Directors of PIC and LAAC:<br>
- Schedule meetings and coordinate all meeting logistics for the PIC Board and LAAC Boards; <br>
- Maintain updated records of all PIC and LAAC Board meetings and projects; <br>
- Record and prepare minutes for all Board and committee related meetings and distribute as needed. <br>

July 2010 PIC Fundraising Auction and Annual Fundraising Event<br>
- Responsible for organizing and running the July 2010 silent auction, PIC’s annual fundraising event, including: soliciting donations of items for the live and silent auctions; tracking all donations; thanking donors; preparing bid sheets and other materials for the auction; ensuring payment and delivery of all items after the auction.<br>

General Administrative Support:<br>
- Order and manage all office supplies;<br>
- Set up and coordinate project-related conference calls and in-person meetings, including site logistics; and<br>
- Provide general administrative support at trainings, conferences and fundraising events.<br>
<br>
Qualifications: Required: Bachelors degree (or equivalent experience) and experience in administration in a non-profit, academic, or small business environment.  This position requires someone who is exceedingly well-organized, the ability to handle multiple projects and deadlines at once, and attention to detail.   Familiarity with Word, Excel, Outlook, and Internet applications is required.  The ideal candidate will be flexible, a self-starter with excellent communication skills, and comfortable interacting with staff, board members, donors and other stakeholders in a fast paced environment, with a high level of professionalism and confidentiality.  This position demands frequent computer (particularly email) and telephone use and some travel around the Bay Area. WLC addresses legal barriers faced by immigrant and other low-income individuals as they strive to access health and financial sustainability. POSITION OVERVIEW<br>
			<br>
Docket Clerks perform various functions and are responsible for docketing, maintaining and processing case information, and managing the progression of cases to final disposition, in accordance with approved internal controls, procedures, and rules.  Docket Clerks at this level are fully proficient at managing the progression of cases to final disposition.  They are responsible for noticing, managing  the progression of cases, maintaining official case records, monitoring the completion of required procedural steps, reviewing filed documents to determine conformity and taking appropriate action, ensuring that all orders are automated entries are appropriately and accurately docketed, and making summary entries on the docket of all documents and proceedings.<br>

Representative Duties<br>
<br>
	Make summary entries of documents and proceedings.  Receive and docket terminating document.  Perform quality control on attorney-docketed entries.  Prepare and distribute judgments, orders, and deficiency notices.  Set schedules for briefing and record preparation.<br>
	Check for prior or prohibited filing.  Verify attorney¡¦s authority to practice.  Monitor for release of exhibits and sealed documents.  Verify and issue summons.<br>
	Perform criminal docketing by applying the rules of the Speedy Trial Act.  Analyze Speedy Trial Reports and ensure that criminal proceedings are scheduled in a timely manner.<br>
	Provide information to public, bar, and the court.<br>
	Transmit records to appropriate court.  Ensure even codes are entered accurately.<br>
	Perform other duties as assigned.<br>

JOB REQUIREMENTS<br>
<br>
	Knowledge of federal and local court rules, practices, and forms.<br>
	Knowledge of purpose and format of legal documents.<br>
	Knowledge of legal terminology.<br>
	Knowledge of where to distribute documents.<br>
	Knowledge of how to process, issue, and certify documents.<br>
	Knowledge of the case assignment process.<br>
	Knowledge of procedure for public access to court files.<br>
	Knowledge of court calendars and dockets.<br>
	Knowledge of the full range of documents (i.e. pleading, correspondence, transcript, etc.).<br>
	Skill in checking for prohibited filings and unpaid fees on prior filings.<br>
	Skill and accuracy in mathematical calculations and data entry.<br>
	Knowledge of how cases proceed through the court system.<br>
	Familiarity with Judges¡¦ preferences.<br>
	Skill in determining appropriate course of action for disposition of a case.  Knowledge of documents required for closing cases.<br>
	Knowledge of requirements for making statistical and operational reports to the Administrative Office.<br>
	Knowledge of docketing requirements.<br>
	Skill in making docket entries. <br>

QUALIFICATIONS<br>

	Ability to communicate effectively (orally and in writing) to individuals and groups to provide information and advise filers of errors.<br>
	Ability to communicate with parties and answer procedural questions without providing legal advice. <br>
	Skill in typing and use of word processing equipment.<br>
	Knowledge of requisite court computer programs.<br>
	Ability to use office equipment and cash registers.<br>
	Skills in using automated systems and equipment to review dockets and documents.<br>
	Skill in using automated case management systems.<br>
