POSITION: District Database Coordinator -- 1.0 FTE, Confidential Employee

LOCATION: District Office Year: 12 Months

RANGE: $4,247.42-$5,069.58/month, benefits provided

POSITION DESCRIPTION: Under the general supervision of the IT Department, perform technical attendance activities providing accurate accounting of student enrollment and attendance records in accordance with provisions of the California Education Code and perform a variety of duties related to the management of student data including but not limited to: supporting the district's Student Information System (AERIES) and assisting with reporting to a variety of outside agencies.

DUTIES -- E=Essential Duties The duties listed below are intended only as illustrations of the various types of work that may be performed. The omission of specific statements of duties does not exclude them from the position if the work is similar, related or a logical assignment to the position.
Coordinate with district department heads and superintendent to ensure all student information data requests are disseminated accurately E; coordinate with Principals, Guidance Counselors and site secretaries to ensure that all data entry is completed accurately and in a timely fashion E; serve as a liaison between district and school level program administrators to ensure accurate, thorough, and effective use of data E; assist with and/or corrects data entry as necessary and where appropriate E; perform all necessary activities related to data extraction and reporting for district, state and federal accountability and funding requirements, including but not limited to data entry, review, verification and extraction of student attendance records E; provide data extracts for district instructional software, testing, and grant development. Responsible for transmitting all data reports to the CDE E; serve as the primary data contact person for state agencies dealing with the District E; update the student information system program to maintain the latest versions of all modules/components and CDE changes E; create training materials and participates in district-wide meetings, training activities and the distribution of appropriate information E; meet with secretaries and other district personnel on a regular basis to discuss and resolve various data management issues E; support and troubleshoots all aspects of the student information system E; responsible for nightly updates of the student information system E; assist schools in resolving scheduling issues E; operate general office equipment such as a computer, printer, copier, calculator, facsimile machine, telephone system, etc. E; perform other related duties as required E; write SQL statements to accurately extract information from the student information system

KNOWLEDGE OF:
Advanced knowledge of Business English, spelling, punctuation, mathematical computation and possession of an excellent vocabulary; thorough knowledge of departmental policies, procedures, and operations; thorough knowledge of the principles of office management and of modern office procedures, systems and equipment such as calculators, and word processors; thorough knowledge of spreadsheet analysis, knowledge of the records and reports which must be prepared and maintained; maintaining confidentiality of information of a sensitive and confidential nature; principles, methods, and procedures used in planning, coordinating, and standardizing reporting systems; principles and practices of data collection and report preparation; common database, spreadsheet, word processing and student information system programs; AERIES data system; Structured Query Language (SQL), SQL Management Studio desired

ABILITY TO:
Analyze varied functions, processes and tasks for the preparation of varied and complex records and reports; multi-task and work independently and unsupervised; communicate effectively both orally and in written format; possesses technical aptitude necessary to learn current and future student management applications and the integration of such software with common office applications, such as Microsoft Office; successfully complete district, state and other training courses relevant to the completion of job assignments; maintain high standards of accuracy in exercising duties; anticipate work to be completed and initiate proper and acceptable direction for completion of work with little to no supervision and instruction; work independently on responsible and confidential assignments and clerical tasks; type clear copy at the minimum required rate; skill in the use of general office equipment such as calculators, word processors, computers, web based knowledge, etc.; make arithmetical computation and tabulations with speed and accuracy; organize, time manage and communicate effectively on the telephone

EDUCATION AND EXPERIENCE:
1. Completion of high school or equivalent, or any combination of education, experience, or training that meets or exceeds the qualifications.
2. Knowledge of student information systems required, AERIES preferred
3. Expertise with database programs and SQL
4. Microsoft Office applications including Word, Excel and Access
5. Oral and written interactions with a culturally diverse community
