The Coordinator responsibilities will focus in the areas of product development, inventory tracking and Shed coordination of Maker Faire events. The successful candidate will be detail-oriented, possess outstanding communication skills tailored to a wide spectrum of Make: employees and contract hires, adept at juggling multiple tasks, and have a strong desire to learn a multitude of business operations beyond coordinator and event responsibilities.
Maker Faire Coordination
•Responsible for coordinating the process of the Shed at Maker Faire events from time of scheduling to final faire close.
•Maintains and communicates annual faire schedule to Shed Management.
•Communicates with Faire Producers to understand Shed involvement for each faire.
•Works within the allocated timeline to implement and meet the needs of the faire.
•Gathers input from Director of Retail on floor plan, product list and inventory.
•Works with Creative Director on Shed collateral needs, organizes collateral lists and tracks details through completion.
•Coordinates and schedules temp staff -- works with HR to gather necessary hiring forms and requirements. If necessary, ensures hotel and travel arrangements are made for staff and temp hires.
•Informs Shed Management of project status and possible changes.
•Schedules meetings with warehouse team to review inventory list, location set-up and breakdown requirements. (Flagship faires)
•Ensures a master faire shipping and packing list is created per faire.
•Schedules cross-department meetings with Shed Management to review the needs that will be met during faire and post faire.
•Helps to ensure the event runs smoothly, problem-solve when needed.
•Makes suggestions on how to improve and streamline future faire process.
•Updates and maintains the Shed Faire Handbook.
Product Development Coordination
•Provides general support to the Product Development team.
•Assists in the production of product review and product development pipeline. Assists to establish and maintain workable team, projects and launch schedules.
•Monitors and maintains weekly project status and flags potential problems.
•Ensures team needs are being tracked and addressed.
•Conducts research and monitors competitor activities.
•Schedule team meetings and book conference rooms.
•Create and maintain team contact list and department vacation calendar.
•Provides general support to inventory and purchasing efforts.
•Create and maintain product pages on makershed.com, includes product descriptions and images.
•Tracking order fulfillment and follow through to completion.
•Assist with tracking returns/RMA.
•Schedule product inbound kickoff presentations.
•Additional duties as requested.
•Experience in a professional environment required
•Must have the ability to work within tight deadlines and set priorities.
•Must be highly organized, detail oriented, and a motivated problem solver.
•Ability to complete various task at once.
•Ability to handle stressful situations.
•Ability to travel when needed.
•Bachelors Degree preferred.
•Strong communication skills.
